To make the review process easy for reviewers, and to assure that paper proposals and camera-ready papers are readable through the on-line review system and the conference proceedings, authors are asked to submit proposals that are formatted according to the instructions given below. Paper proposal document formatting is identical to camera-ready paper formatting. Paper proposals not conforming with the required format will be rejected without review. Similarly, camera-ready papers not conforming with the required format will not appear in the proceedings.

Use the following guidelines/instructions when preparing your paper:

TEMPLATES:

  • As you can see from the contents of this “Author Kit”, there are detailed formatting specifications for preparing your paper and you can create your own template from those instructions.
  • However, you are strongly encouraged to use the standard templates provided below to produce your paper. The templates provide most of the formatting specifications needed for preparing electronic versions of the papers. Page sizes, margins, column widths, line spacing, and type styles are built-in.

  • For LaTeX users:
    • make sure that you use the “conference” mode.
    • If you are using the A4 size paper make sure that you specify the “a4paper” mode.

FILE FORMAT:

  • Papers must be submitted in Adobe’s Portable Document Format (PDF). The IEEE Requirements for PDF Documents (click to download) MUST be followed EXACTLY. The conference is required to ensure that documents follow these specifications.
  • As a minimum, each PDF for IEEE Xplore must have all of the following characteristics:
    • Must be PDF 1.4 (Acrobat 5) or later but not Acrobat 9.
    • Must be created with a PDF distiller. Scanning is not permitted.
    • Must embed or subset all fonts. If fonts are not embedded, there is no guarantee that the viewers of your file (reviewers and those who view the proceedings after publication) have the same fonts on their local machines as those used in the document. Embedding fonts in your PDF document ensures that it is viewable across platforms and regardless of the fonts available on local machines. This also helps make sure that the mathematics appears as intended and improves text searching in the PDF. Please note some TrueType fonts have a setting added by the font designer that prevents the font from being embedded and should be avoided.
    • Must be text searchable.
    • Must not have a password or other security settings.
    • Must not contain any bookmarks or links.
    • Must not contain crop marks, registration marks, date stamp, time stamp, or any other mark.
    • Must not contain any PostScript that overrides the settings file.
    • Must not use PDF attachments.
    • Must not consist of a PDF Package or Merged PDF.
  • If you are using Adobe Distiller to produce your PDF file, you might want to download the PDF settings file (click to download) to make sure that the produced PDF file meets IEEE Xplore requirements. The zip file contains instructions on usage as well as files for job option settings for Adobe Acrobat versions 5-XI.

LENGTH:

  • You are allowed a total of 4 pages for your paper. This is the maximum number of pages that will be accepted, including all figures, tables, and references.

LANGUAGE:

  • All papers must be in English.

PAGE SIZE AND MARGINS:

  • Papers should be formatted for US Letter size (8.5 inches x 11 inches) paper or standard A4 size (210 mm x 297 mm) paper.
  • All printed material including text, illustrations, and charts, must be kept within a print area of 7.26 inches x 9.25 inches (184.4 mm x 235 mm). Do not include anything outside the print area.
  • Text should appear in two columns, each 3.5 inches (88.9 mm) wide with 0.25 inches (6.4 mm) space between columns.
  • Margins must be as follows:

Bottom Margin 1 inch 1.69 inch (43 mm)
Side Margins 0.62 inch 0.51 inch (13 mm)

TYPEFACE:

  • To achieve the best viewing experience for the review process and proceedings, we strongly encourage authors to use Times-Roman fontTrue-Type 1 fonts are preferredType 3 fonts are not allowed.
  • Use single spacing throughout your paper.
  • A font size of 10 points is recommended for the body text, headings, subheadings and most other parts of the paper. Larger fonts can be used for the title, subtitle and author name. Smaller fonts can be used for captions and footnotes. However, do not use a font size smaller than 8 points. Following are guidelines for font sizes and formats:

Equations 10 pt Centered and numbered consecutively using right aligned Arabic numerals in parentheses (.)
Captions 8 pt Table Captions: Centered above the table with small caps numbered consecutively using Roman numerals (Table I., Table II., etc)
Figure Captions: Left aligned below the figure numbered consecutively using Arabic numerals (Fig. 1, Fig. 2, etc)
Footnotes 8 pt Numbered separately in superscripts. Actual footnote is to be placed at the bottom of the column in which it was cited
References 8 pt Numbered consecutively using Arabic numerals in brackets [.]

TITLE:

  • Do not use math notation in the title; the title must be representable in the Unicode character set. Also try to avoid uncommon acronyms in the title.
  • Make sure that the title in the paper file matches exactly with the title that is submitted electronically during the on-line submission process.

AUTHOR LIST:

  • Make sure that the authors in the paper file matches exactly in number and order with the authors recorded  electronically during the on-line submission process.

ABSTRACT:

  • Each paper should contain an abstract of 100 to 200 words that appears at the beginning of the paper.
  • Make sure that the abstract in the paper file matches exactly with the abstract that is submitted electronically during the on-line submission process.

PAGINATION:

  • Please do not paginate your paper. We will add appropriate page numbers to accepted papers when the conference proceedings are assembled.

FILE NAME:

  • The filename of the paper file is not important since the submission system will rename the file but please make sure that you use .pdf extension for the file. After you submit the paper, please make a note of your paper number and use it in all your correspondence.

FILE SIZE:

  • Authors will be permitted to submit a document file up to 2 MB (megabyte) in size. To request an exception, please contact the Conference General Chair.​
